The CRM for Personal Trainers Who Are Tired of Losing Leads in DMs

  • Lead — DM inquiry, gym referral, Instagram comment. They've expressed interest but haven't booked anything yet. The job here is fast response — most coaching leads convert or ghost within 48 hours.
  • Free Consult — They booked the free 20-minute intro call or in-person assessment. You're learning their goals, current fitness level, and whether this is a fit on both sides.
  • Trial Session — They did one paid session to see if your coaching style works for them. This is the make-or-break stage. They're deciding whether to commit to a package.
  • Active Client — They bought a package (usually 6, 10, or 12 sessions) and training is underway. This is where most of your revenue and your energy lives.
  • Renewal Due — They're on their last 1-2 sessions. This is the easiest upsell you'll ever make if you catch it in time — and the most expensive loss if you don't.
  • Paused — Injury, travel, life. They're not canceling, just on hold. Most trainers lose these clients because they never check back in.
  • Alumni — Finished their package, didn't renew. Gold for re-engagement campaigns three or six months later. ("Getting back into it for summer?")

The Fields Every Coach Actually Needs

A coaching record isn't a contact record with a name and email. It's a client profile. We pre-built nine fields every trainer needs:

  • Primary Goal — Weight Loss, Strength, Athletic Performance, Post-Rehab, Event Prep, Longevity, Pre/Postnatal. This powers the AI — every message you draft adapts to their goal.
  • Package Type — 1-on-1, Semi-Private, Small Group, Online/Remote, Hybrid. How you train them shapes how you communicate with them.
  • Session Format — In-Person, Virtual, Hybrid. Matters for scheduling, reminders, and what equipment they need.
  • Sessions Per Week — 1x, 2x, 3x, 4x+. Drives renewal math and accountability cadence.
  • Rate Per Session — Your number, not a generic "deal value." Useful for revenue reporting.
  • Start Date — When they started training with you.
  • Renewal Date — The single most important date in a coaching business. Set it when you close the package. Get a task reminder two weeks before it hits.
  • Injuries & Limitations — Their shoulder, their back, their bad knee. Critical context that never belongs in a DM thread.
  • Emergency Contact — If something happens mid-session you need this field to exist. Most trainers don't have it written down anywhere.

AI That Knows Their Goal

The Alumni stage isn't a graveyard — it's a list. Clients who finished and didn't renew are warm leads. They already know you, already trust you, already saw results. Re-engaging them six months later ("hitting the gym again for summer?") converts way higher than cold prospecting.

Drop them in Alumni. Build a re-engagement sequence (available on Business plan). Check in every quarter. Some will come back. You just need to remember they exist — which is precisely what the Alumni stage is for.
