Managing Contacts (or Customers, Employers, Clients)

The people you track are the core data model in RadiusOS. Every email thread, task, note, and pipeline stage attaches to one of these records. Depending on your template, they may be called Contacts, Customers, Employers, or Clients - the concept is the same.

What are contacts?

Your template defines what the people in your pipeline are called:

  • Sales Pipeline → Contacts
  • Field Service → Customers
  • Job Search → Employers
  • Real Estate / Creator CRM → Clients

Regardless of the label, they work the same way: each record holds a person's details, their position in your pipeline, and everything you've done with them.

Adding a record

From anywhere in the app, click the + New button in the top-right of the Contacts/Customers/Clients page, or use the keyboard shortcut N while on that view.

Record fields

Each record includes the following core fields:

  • Name (required)
  • Email - used to match incoming Gmail threads
  • Phone
  • Company - links to a company record
  • Pipeline Stage - where this record sits in your workflow
  • Notes - freeform text, supports markdown
  • Tags - for filtering and grouping
  • Source - how you found this person (e.g. LinkedIn, Referral)

Templates may add extra fields relevant to the industry - property type for real estate, job type for field service, and so on.

Editing a record

Click any row to open the detail panel. All fields are inline-editable - click a field to edit it. Changes save automatically.

Deleting a record

Open the detail panel, scroll to the bottom, and click Delete. This is permanent and removes all associated tasks and email threads from the record. Gmail messages themselves are not deleted from Gmail.

⚠️

Deletion is irreversible. RadiusOS does not have a recycle bin. If you want to keep a record but remove it from active pipeline view, move it to a "Closed" or "Archived" stage instead.
