Email Templates

Pro

Save reusable email templates with merge fields for personalized outreach. Write once, use everywhere - when composing from a contact, pick a template and merge fields are filled in automatically.

Overview

Email templates let you create reusable email drafts with dynamic merge fields like {{contact.name}} and {{contact.company}}. When you use a template to compose an email, the merge fields are replaced with the actual contact's data.

ℹ️

Email templates are a Pro feature. Free plan users can still compose emails manually - templates just save time when you're sending similar messages to many contacts.

Creating a template

1

Navigate to Settings → Email Templates

Click New Template to start.

2

Fill in template details

Name - a label for your reference (e.g. "Cold Outreach" or "Post-Meeting Follow-Up"). Category - organize into Outreach, Follow-up, Nurture, or Custom.

3

Write the subject and body

Both support merge fields. Use the merge field picker button next to each field to insert fields like {{contact.name}}, {{contact.email}}, {{contact.company}}, or {{contact.stage}}.

Starter templates

RadiusOS includes 8 ready-to-use starter templates to get you going:

  • Cold Outreach - initial contact with a prospect
  • Gentle Follow-Up - circle back after no reply
  • Meeting Request - ask for 15 minutes
  • Post-Meeting Thank You - follow up after a call
  • Check-In - reconnect after a while
  • Referral Request - ask for an introduction
  • Break-Up Email - graceful close when no response
  • Welcome / Onboarding - greet a new contact
💡

Click "Use This" on any starter template to copy it into your templates. You can edit it after saving.

Using templates when composing

When composing an email from a contact's detail page, you'll see a template picker dropdown. Select a template and the subject and body are pre-filled with the template content, with all merge fields replaced by the contact's actual data.

You can still edit the email before sending - the template just gives you a starting point.

Merge fields reference

FieldDescription
{{contact.name}}Full name
{{contact.email}}Email address
{{contact.phone}}Phone number
{{contact.company}}Company name
{{contact.stage}}Current pipeline stage
{{contact.notes}}Contact notes
ℹ️

If a field is empty for a given contact, the merge tag is replaced with an empty string. Custom metadata fields from your template configuration are also available.

Managing templates

From Settings → Email Templates you can:

  • Edit any template by clicking the pencil icon
  • Delete a template by clicking the trash icon
  • Filter by category using the tabs (All, Outreach, Follow-up, Nurture, Custom)

Templates are shared across your organization - any team member can use templates you create.
