Walkthrough Notes (Walk & Talk)
ProOpen a contact on your phone, tap Start a Walk & Talk, and photograph the space as you walk through it. Voice capture rides along the whole time, so the moments you talk through (dimensions, damage, what the customer asked for) get captured without you stopping to type. RadiusOS transcribes the audio, writes a clean recap, suggests follow-up tasks and reminders, and saves it all to the contact in one tap. Free includes one Walk & Talk a month, saved to your contact. Pro and above lift the monthly cap and add Snap to Quote and client-ready share links.
What it is
Walkthrough Notes turn a phone, a camera, and a voice into a structured customer record. You walk through the space, photograph as you go, and voice rides along the whole time. When you tap Done, RadiusOS does the rest: transcribes the audio with OpenAI Whisper, runs Claude Haiku 4.5 over the photos and transcript to write a title and summary, and proposes follow-up tasks, reminders, and tags. You review on the next screen, edit anything you want, and approve. Everything fans out to real records on the contact: a Note, Tasks, Reminders, and Tags, all linked back to the walkthrough.
Built for any space you walk through: homes, listings, jobsites, service calls, inspections, anywhere typing into a CRM is the wrong tool. You talk. We type.
How to record a Walk & Talk
Open a contact on your phone
Walkthrough Notes is mobile-first. Sign in on your phone (Safari on iPhone, Chrome on Android), open the contact for the job or visit, and you'll see the Start a Walk & Talk button in the contact's action row.
Tap Start a Walk & Talk
RadiusOS asks for mic and camera permission. Approve both. The capture screen opens full-screen.
Photograph as you walk; voice rides along
Tap the shutter to snap photos as you move through the space. Audio capture is on the whole time, so anything you say while you frame the shot (dimensions, damage notes, what the customer asked for) gets captured automatically. You can walk through three rooms, snap five photos, talk through every one of them, and never stop the recording.
Tap Done
RadiusOS uploads the audio + photos to secure storage, runs Whisper to transcribe, then Claude Haiku to write the recap and suggest follow-ups. Takes 15 to 30 seconds for a five-minute walkthrough. You'll see a progress indicator.
Review the recap
You land on the review screen with: an AI-drafted title, an AI-written summary, suggested follow-up tasks (with priority and due-date guesses), suggested reminders (with dates), and suggested tags. Edit, accept, or reject each one.
Pick the visibility
Toggle between Internal (your team only) and Client-ready (safe to share). The setting controls what gets included if you later share the walkthrough externally.
Approve
Tap Approve. RadiusOS creates the Note, Tasks, Reminders, and Tags on the contact, all linked back to this walkthrough. You land on the finished walkthrough view.
Starting from a computer
Walk & Talk is a phone flow - you walk the space, snap photos, and talk while you move. A laptop can't do that, and pointing the webcam at yourself just films a selfie. So when you tap Start a Walk & Talk on a computer, RadiusOS opens a hand-off card instead of the recorder:
- Scan the QR code with your phone's camera to jump straight to this contact's record on your phone, then tap Start a Walk & Talk there.
- Or click Send link to my phone to email yourself the link.
- On a tablet, or if you really do want to capture from this device, use the small "open the recorder anyway" link at the bottom of the card.
On a phone, the button skips the card and opens the recorder right away - no extra step.
What the review screen does
The AI is making suggestions, not decisions. Nothing is created on the contact until you tap Approve. On the review screen you can:
- Rewrite the title and summary directly
- Toggle each suggested task on or off, edit its text, priority, and due date
- Toggle each suggested reminder on or off, edit its text and date
- Add or remove suggested tags
- Switch between Internal and Client-ready visibility
- Discard the entire walkthrough if it didn't capture what you wanted
Discarding deletes the audio within 24 hours and removes the walkthrough from the contact. The photos and transcript are not saved as a Note.
Reading the waveform preview
Before the AI summary loads, the review screen shows a static waveform of your recording. It's not for playback - it's a sanity check so you know in two seconds whether the recording actually captured what you said.
- Tall bars across most of the timeline mean real audio was captured. Keep going.
- Mostly flat with a few small bumps means the mic mostly picked up silence or background hiss. Re-record before you waste time on the AI summary.
- Bars stop partway through means the recording cut off (phone locked, app backgrounded, mic permission revoked mid-session). Re-record.
On the failed-state screen (when the AI couldn't summarize), the waveform renders in orange. A flat orange line is the unambiguous signal to discard and start fresh - the AI didn't underperform, the recording was silent.
What to do if the transcription is off
Two retry paths depending on which part went wrong:
Re-record (when Whisper misheard the words)
If the transcript came back garbled (background noise, mumbling, technical jargon), use re-record. The review screen has a Mic button next to Discard. Tap it to clear the audio and record again. Your photos stay; the audio, transcript, and AI summary clear and regenerate when you finish the new recording.
- Capped at 3 retries per walkthrough so a noisy room can't accidentally burn your monthly quota
- Each retry counts as a fresh Whisper + Haiku run against the same workspace quota
- At the cap, the Mic button disables and the review screen tells you to discard and start fresh
Regenerate (when Whisper got the words but the summary missed the point)
Open the Show or edit original transcript section at the bottom of the review screen. The transcript is editable; fix anything Whisper got wrong (a misheard name, a technical term, a number). When you change the text, a Regenerate button appears. Tapping it reruns the AI summary against your corrected transcript without re-recording the audio.
- Doesn't count toward your 3-retry re-record cap
- Doesn't rerun Whisper, only the summary AI (Claude Haiku) - cheaper than a full re-record
- Replaces the title, summary, suggested tasks, reminders, and tags with fresh AI output based on the edited text
- Any edits you've already made on the review screen will be replaced when you regenerate
If only one or two details are off (a name, a date), the fastest fix is to edit the title and summary directly on the review screen before approving. Regenerate is for when the summary fundamentally misunderstood what you said.
Find a past walkthrough: two places to look
On the customer: open the contact's Walkthroughs tab. Every approved walkthrough on that customer lives there, newest first. Each row shows the title, summary, photo count, audio length, and date. Tap a row to open the full recap with photos, transcript, share link, and PDF. Brand-new customers see a sample preview tuned to your vertical so you know what the AI will produce on your first recording.
Across the whole workspace: open the sidebar and tap Walkthroughs. The list shows in-progress drafts (so you can resume) and approved recaps with their tasks, tags, and shared links. Each row tells you which customer, company, or invoice it's attached to and how long the recording was. Filter by status with the tabs at the top: All, In progress, Approved. Tap any row to open: draft rows land back on the recording screen; approved rows open the recap.
The contact's Walkthroughs tab is for the one-customer view (what did we capture for this homeowner?). The workspace-wide Walkthroughs index is for the operational view (what's drafted, what needs review, what's done across the whole business).
Multi-day captures: continue an in-progress walkthrough
Some jobs span multiple days. A roofer doing a tear-off comes back tomorrow to finish the inspection. A general contractor walks a remodel today and the punch list the next morning. RadiusOS handles this by keeping unfinished walkthroughs in a draft state on the contact or company.
When you re-open a record that has an in-progress walkthrough, the action-row button switches from Start a Walk & Talk to Continue Walk & Talk. Tap it and you land back on the same recording session - audio, photos, and any edits you'd already made are intact. Next to the Continue button there's a small + icon to abandon the in-progress draft and start fresh (which counts against your monthly quota; the old draft sits unused and is cleaned up by the 7-day audio-retention sweep).
Continue Walk & Talk doesn't consume a new slot in your monthly quota. The quota is consumed when you first tap Record. This means you can spread a single capture across multiple sessions without worrying about your cap.
What gets saved when you approve
Approving a walkthrough creates real records on the contact:
- A Note containing the AI summary, with a Walkthrough Note label so you can tell it apart from typed notes
- One Task per accepted task suggestion, with priority and due date as you edited them
- One Reminder per accepted reminder suggestion
- Tags added to the contact for each accepted tag
- The photos persist with the walkthrough and are viewable on the finished page
- The audio is kept for 7 days, then auto-deleted

Free is a preview tier. You can record one walkthrough per workspace per month and see the full AI recap on the review screen - transcript, summary, suggested tasks, reminders, and tags. Walkthroughs are blocked on sample contacts. The starter pipeline ships with example contacts so you can explore the product; tapping Start a Walk & Talk on one of those returns a friendly error. Create a real contact and try again.
Audio retention and privacy
We keep the audio only as long as it's useful:
- Approved walkthrough: audio is auto-deleted 7 days after approval
- Discarded walkthrough: audio is auto-deleted within 24 hours
- The transcript stays attached to the walkthrough record (you can re-read what was said)
- Photos persist with the walkthrough and are scoped to your workspace; only members of your workspace can view them
What gets sent where:
- The audio file is sent to OpenAI (Whisper API) for transcription, then deleted from our processing queue
- The transcript text and a sampled subset of the photos are sent to Anthropic (Claude Haiku) to generate the summary and suggestions
- Audio and photos are stored in Cloudflare R2, scoped to your workspace
Don't use Walkthrough Notes for two-party-consent recording where state law requires both parties to consent (CA, FL, IL, MD, PA, WA, and others). RadiusOS bans uploading audio from outside the in-app recorder, but recording a person speaking without their knowledge is still your responsibility.
Generate a quote from a walkthrough
Once a walkthrough is approved on a contact, the finished page shows a Generate quote button. RadiusOS reads the transcript, samples the photos, and drafts line items in your price book's vocabulary. You land in the Quote editor with the draft pre-filled.
Open the approved walkthrough
From the contact, tap the walkthrough card. On the finished page, the Generate quote button sits in the action row.
Tap Generate quote
Drafting takes 5 to 15 seconds. The AI picks line items, sets quantities and unit prices, and writes a notes paragraph. Pro+ workspaces also match line items against your price book when possible. If your price book carries costs (job costing, Pro and up), the matched lines bring their cost along, so the Quote editor shows your margin before you send.
Land in the Quote editor
The editor opens on the contact's Quotes tab with a chip that reads Sourced from walkthrough. You can edit any line, change the tax rate, set valid-until, and send via email when you're ready.
Quote drafting requires a transcript, so this button only appears on contact-attached walkthroughs with a saved transcript. If a walkthrough has no audio or extremely short audio, the button stays hidden and you can build the quote manually.

Share a walkthrough with a client
Tap Share with client on an approved walkthrough to generate a public link your client can open without signing in. The link is good for 30 days and shows only the client-visible content: photos, captions, the title, the client-visible summary, and any sections. Internal notes, the transcript, and the next-best-action are never shared.
Approve the walkthrough first
Sharing is only available once a walkthrough is approved. Discarded or processing walkthroughs cannot be shared.
Tap Share with client
The button reveals a panel with the link, a Copy button, a Preview link to open the client-facing view in a new tab, and a Disable link.
Disable any time
Tap Disable link to revoke. The URL stops resolving immediately. Re-enabling generates a new, different link.
On a paid plan, your logo and brand color appear in the header of the shared page. On Free, a small Powered by RadiusOS line appears in the footer.
Download a walkthrough as PDF
Tap Download PDF on an approved walkthrough to open a print-ready document in a new tab. The browser's Save as PDF option turns it into a file you can email, attach to a quote, or hand to a client. Photos, summary, and sections are included. Internal notes and the transcript are not.
The same Download PDF link is available on the public share page so clients can keep their own copy.
Start a walkthrough from Claude, Cursor, or ChatGPT
The RadiusOS MCP server exposes a start-walkthrough tool. From any MCP client (Claude Desktop, Cursor, ChatGPT, Claude Code), you can ask it to start a walkthrough for a contact and it returns the recording URL so you can open it on your phone.
Example prompt: "Start a walkthrough for Sarah Chen at Acme Corp and send me the mobile recording link." The tool creates the draft and replies with the URL.
Same Pro+ gate as the in-app button. Audio capture happens in the browser - the MCP tool's job is to hand you a link, not to upload audio itself.
Troubleshooting
- iPhone Safari: mic and camera permission must both be granted. If you blocked one earlier, go to Settings then Safari then Camera/Microphone and set the site to Allow.
- Android Chrome: same. Settings, Site Settings, Camera/Microphone.
- If the upload fails partway through, the walkthrough lands in a Failed state on the contact. You can discard it and re-record.
- If you're on Free and have already used your 1 preview this month, you'll see an upgrade nudge. Upgrade to Pro to record more (up to 30/month) and save them to your customer records.
- If you hit the Pro 30-per-month cap, you'll see an upgrade nudge. Upgrade to Business for unlimited recordings.
- If Generate quote returns an error about no transcript, the walkthrough was likely too short or audio failed to process. Re-record and try again.
- If a client says your share link is broken, check the walkthrough finished page - if Disable link was tapped, the URL stops working. Re-enable to generate a fresh link.
